Office Admin Bookkeeper Associate

Summary

Support management in all facets of operations by administering day-to-day office functions, bookkeeping, filing digital and paper documents, special projects, and taking great care of our office requirements. You must be highly organized, good with math, spreadsheets, Quickbooks, Microsoft Office, and organizing paper files. You will be responsible to perform some duties of manager in his/her absence, and contribute to profitable operation of the business.

You will have the following responsibilities

  • Create and organize files, digital files, and paperwork as needed
  • Communicate with customers, vendors, government agencies, employees, and management as needed to facilitate duties (must be proficient in Word)
  • Create custom excel sheets and reports as needed (must be proficient in excel)
  • Check, sort and monitor daily office mail and deliveries
  • Answer phone, assist caller and/or direct to appropriate party
  • Answer emails and other correspondence
  • Maintain bookkeeping:
  • Timely record pay all approved bills
  • Record receivables
  • Generate reports as needed for management review
  • Balance statements
  • Maintain historical records
  • Administer projects as required
  • Maintain and order supplies
  • Perform light cleaning duties
  • Process new-hire paperwork with HR and other forms required for employees
  • Run company errands as needed (Reliable automobile required)
  • Perform other duties as may be assigned

Qualifications, Skills

  • Highly organized and eager to learn our specific methods
  • Highly proficient in Word, Excel, Outlook, Office, and learn other software as needed.
  • Ability to type at least 45 WPM
  • Attention to detail, creating and following step-by-step processes
  • Knowledgeable in basic accounting principles (some experience preferred along with QuickBooks experience)
  • Able to multi-task amid changing priorities
  • Self-motivated, open-minded, positive outlook
  • Strong analytical background, problem solver
  • Friendly, polite, customer oriented
  • Capable of handling difficult situations with tact and professionalism
  • Must be able to lift up to 35 pounds

Language & communication skills: Ability to read and write English, analyze and interpret documents, such as marketing plans and sales analysis data reports. Ability to write routine correspondence and routine reports. Ability to effectively present information and respond to questions from customers, prospects, vendors, government agencies, employees of the organization, and the general public.

Mathematical skills: Basic mathematical skills; adding, subtracting, and multiplying. Ability to complete and analyze financial documents.

Technology: Proficient with multiple online logins, software, and technology including email, POS, scheduling applications and other software as needed. Proficient in Word, Excel, Outlook, Office, Adobe Acrobat, and others.

Reasoning ability: Ability to apply common reasoning and understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with and solve problems. Proven history of using good judgment.

Physical demands: The duties of this job require the employee to regularly sit, stand, walk, use hands to handle or hold objects, use a writing instrument, computer, and other office equipment, telephone; and speak and listen by telephone and in person. The employee is frequently required to drive, reach forward, sideways, and overhead with hands and arms. The employee is required to sit and walk on a regular basis. The employee may be required to, stoop, kneel, and bend as well.

The employee must regularly lift and/or move up to 20 pounds and occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

  • Employees will notify manager of any issues that cannot be resolved in a timely manner, and of any deadlines that cannot be met. Such notification will occur timely prior to the deadline, so as to find a workable solution.
  • All staff will contribute to a safe workplace by being alert and committed to safe work practices.
  • Employees will wear appropriate attire or uniform as required for each position.
  • Employees are encouraged to make recommendations for improvements using the suggestion form and submitting it to management.
