Today, company president Ken Larison and his entire team of designers, project managers, and technicians share a commitment to providing excellent service and mindful approach to granting clients the outdoor swimming space of their dreams.

As a key member of the Executive Management team, the Chief Financial Officer will report to the President and CEO, Ken Larison, and assume a strategic role in the overall management of the company.

The ideal candidate for this role will tackle problems big and small. One day could be helping our staff accountant run AP and then next could be working to implement a new software company wide. We’ve experienced unprecedented growth and need someone who can work both in the business and on the business. Key Responsibilities:

The Chief Financial Officer will have direct responsibility for the following areas:

  • Accounting

Accounting

  • Maintain the accounting books for the company and the affiliates providing accurate monthly records to assist managers and owners to identify our strengths and weaknesses more quickly. Close out each month's books and create Budget to Actual Expenses reports, Profit and Loss Statements and Balance Sheets by the 10th of the month for the prior month.
  • Determine staffing requirements for finance/accounting team. Train & manage finance team by providing continued training & coaching.
  • Receive, review and process construction payables. Develop a procedure to assure that each invoice is reviewed for accuracy and that the work phase has been inspected and signed off by the Project Manager as complete and within company standards. Each invoice should be matched to the project budget and when the actual cost exceeds the budget an explanation is provided by the Project Manager and the Salesperson. All construction overruns are to be reviewed monthly in a meeting with the COO and CEO so that corrections can be made in the construction pricing system, sales education, or subcontractor’s procedures or pricing. Maintain a focus on keeping each project on budget to assure project profitability.
  • Review all non-construction incoming invoices. Match the invoice to the appropriate budget item. Identify invoices that are outside of, or greater than, budget for the month. Review all over-runs in the monthly meeting with the COO and CEO to assure a continual focus on company profitability.
  • Develop and provide post costing files for each project. Close-out each project within 30-days of receiving final payment. Provide a post costing summary to the appropriate salesperson. The summary should identify each expense applied to the budget for the project. Additionally, commission calculation should be provided and used to authorize final close-out payment to the salesperson.

Forecasting & Cash management

  • Develop annual operating budgets with the assistance of each Manager, COO, and CEO for the upcoming year. To be completed by mid-November of each year.
  • Update budget/forecast quarterly (at minimum) based on latest available information

Strategic planning; with an emphasis on growth

  • Find and implement the best accounting software for company use. A software upgrade is sought to provide a more accurate and consistent measure of the company’s financial picture and profitability. Implement the upgrade completing the changeover in 2024.
  • Review all finance/accounting team processes and operations in order to improve efficiency and increase accuracy

Risk management

  • In conjunction with the company attorney and management team, the CFO will develop a detailed Subcontractor Agreement. All subcontractors will be required to have an annual review and sign an annual agreement. This process should be completed with all subcontractors by January 31st of each year. All new subcontractors will be required to have a sign agreement and all appropriate license, insurance, and tax documentation on file prior to performing any work for the company or its affiliates.

Tax compliance

  • Manage monthly sales tax payments to stay current with state and local requirements. Manage all State and Federal tax records and payments in a timely manner.

IT

  • Working with our COO, and within an agreed budget, develop and implement the best Project Management software to be more comprehensive of our overall process and improve companywide record keeping and profitability

Human Resources

  • Manage payroll, personnel documentation, 401K, and Profit Sharing for all employees of Pools by Design and their affiliates. Pay all required state and federal payroll taxes and fees in accordance with the applicable laws.
  • Provide HR services and support for employees.
  • In conjunction with department managers, the CFO will oversee performance reviews, disciplinary action meetings, or employee terminations, to assure that all labor laws are met and reasons for termination are clear and appropriate. The CFO will also manage and provide all appropriate termination compensation in accordance with the Employee Handbook and state laws, including, PTO, Vacation benefits, Profit Sharing, and 401K disbursement.
