The Contract Administrator assists the EM Contracts Manager in Quoting new contracts, managing current contracts, and provides the service operations group with information and reports to perform scheduled events per contract agreements in a manner that reflects the company’s vision of working as “One Professional Team.” This position monitors and advises on the status of contract events associated with the Equipment Management Group and helps to manage telematics registration and billings for both internal and external customers. Additionally, this position generates contract related customer billings and reconciles vendor invoices.

Pay rate: $48,099.93 - $66,139.69 Annually
Pay rate is dependent upon education & experience.

Essential Functions:

  • Collects equipment hours from Wagner assets that are GPS enabled
  • Compiles Rental Fleet reports
  • Compiles data and creates necessary queries and reports to populate the Rental Fleet PM scheduler
  • Checks and reviews contract-related work orders for proper billing
  • Works with the EM Contracts Manager to develop consistent processes for the development and reporting of customer agreements
  • Documents and communicates contract related progress and shortfalls to the EM Contracts Manager to ensure contracts are meeting company needs and timelines
  • Assists in the deferred and electronic invoicing process
  • Assists with requests for administrative materials i.e. proof of insurance, copies of agreements etc.
  • Assists in developing automated processes and systems to insure problem oil samples are acknowledged and acted upon
  • Manages Product Link registration and VisionLink billings for both internal and external customers
  • Generates contract related customer billings and reconciles vendor invoices
  • Enters data daily into tracking databases, and works to improve process management and automation
  • Organizes efforts across multiple departments/customer, exhibiting strong project management skills
  • Sets up CVA’s and verifies and tracks current customer information and
  • Locates and adds vendors to current CVA database
  • Tracks and schedules preventative maintenance for both Customer and Wagner owned assets
  • Tracks and schedules Cat Care CVA’s for both Customer and Wagner owned assets
  • Advances and preserves customer/vendor relationships
  • Provides training to both Customer and Wagner staff on CVA details and processes
  • Meets and responds to customer needs in a professional and timely manner
  • Provides one on one support for customer contract issues and renewals
  • Participates in customer status update meetings
  • Works with Rental Coordinators, Service Managers and Service Writers to ensure work order data is accurate for all contracts
  • Seeks to support the up sale of additional Wagner services and CVA options with all customers
  • Seeks to understand a basic working knowledge of the maintenance processes of heavy equipment and industrial engines
  • Seeks to understand a basic working knowledge of telematics and machine data reporting
  • Other duties as assigned by manager

Required Education and Experience:

  • High School Diploma or GED
  • Some College or equivalent combination of education and experience
  • 3-5 years’ experience in Construction, Oil and Gas, Utilities, or Equipment industries preferred
  • Contracts and project tracking experience
  • 3-5 years administrative/clerical experience
  • 3-5 years customer service experience
  • 1-3 years sales experience
  • 1-3 years technical or mechanical experience

Physical Demands & Competencies:

  • Standing, walking, talking, sitting, use of hands & hearing
  • Sedentary work that primarily involves sitting/standing but may require occasionally lifting and/or moving up to 25 pounds
  • Data Entry, telephone, reading/writing, reasoning, organizational, communication & math skills
