Job Description :

Optim Health System is seeking a full time Executive Assistant for our Savannah location.

General Summary: A full-time, nonexempt position. Primary responsibility to assist the Chief Executive Officer , Chief Financial Officer and Chief Operations Officer with an array of daily activities and projects. Secondary responsibility to assist 2-3 other leadership positions with limited tasks. Tertiary responsibility to manage general office environment.

Essential Job Responsibilities:

  • Administrative Support to the CEO, CFO and COO
    • Manage calendar and coordinate meetings to maximize efficiency and balance priorities. Coordination includes reconciling schedules among internal and external participants, developing and/or compiling meeting materials, securing location and technology, making travel arrangements and other logistic elements, and recording minutes when required.
    • Monitor E-mail communications to ensure efficient and timely attention to matters.
    • Lead in drafting and controlling documents and presentation materials using advanced functionality of Microsoft Office Suite of Word, Excel, Outlook, PowerPoint and Visio.
    • Manage information requests to internal and external sources to meet CEO, CFO and COO needs on recurring matters and special projects.
    • Interface with internal and external parties seeking CEO, CFO and/or COO approval(s) with legal, capital, administrative and other matters.
    • Assemble monthly and quarterly reports and analyses.
    • Prepare expense reports.
  • Serve as a point of contact and assist with a variety of matters involving general business operations and access to CEO, CFO and COO.
  • Researches assigned topics and provides summaries and guidance to support initiatives.
  • Complete projects assigned to organize and develop initiatives.
  • Maintain record keeping systems (physical and digital).
  • Other duties as assigned

Office Management

  • Order and maintain inventory of office supplies.
  • Greet visitors to office and act as point person for incoming phone calls to general office line.
  • Manages distribution of internal and external mail.
  • Coordinates with maintenance and landlord to maintain office environment and security.
  • Establishes and oversees scheduling system for conference room(s).
  • Serves as notary for corporate and business offices.

Education: Bachelor’s degree preferred.

Experience: Minimum three years of administrative or directly related experience, with established record of employment stability. Experience working with a health care organization preferred.

Other Requirements: Possess public notary certificate or ability to obtain upon hire.
