The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO. They serve as the “right-hand person” to the Chief Executive Officer, enabling them to advance company initiatives and goals, and to focus on the high-level leadership and strategy functions of their job. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Essential Duties and Responsibilities

Duties may include, but are not limited to the following areas:

  • Works directly with the Chief Executive Officer to support all aspects of her daily work routine, keeping her well informed of upcoming commitments and responsibilities, and following up appropriately. Serves as the “eyes and ears” for the CEO, having a sense for issues taking place in the work environment and keeping the CEO updated.
  • Promotes a positive, productive, and inclusive working environment. Works collaboratively with all AWS departments and teams.
  • Maintains the CEO’s calendar, including scheduling meetings, appointments, speaking engagements and travel arrangements. Exercises discretion in committing time and evaluating needs.
  • Assists with finance management including accounts payable, preparing checks and attaching receipts to QuickBooks.
  • Serves as a liaison between the CEO, AWS staff, funding sources, vendors, constituents, and clients. Invest in building long-lasting relationships both externally and internally.
  • Serve as a “gate-keeper” for the CEO. This includes answering questions with tact and diplomacy, taking messages to relay to the CEO, redirecting matters to staff to manage, or handling matters personally, as appropriate.
  • Drafts, reviews, and sends communications on behalf of the CEO.
  • Organizes and prepare for meetings, including gathering documents, preparing agendas and attending to logistics of meetings.
  • Attends meetings with, or as a surrogate for, the CEO. Ensures that the CEO is prepared with all the right documents and information they'll need for the meeting. Takes notes for CEO and provides her with written summaries and action plans.
  • Completes a variety of special projects including research, creating PowerPoint presentations, financial spreadsheets, special reports and agenda material.
  • Evaluates and assists in developing policies and procedures for improved workflow and in anticipation of future needs as the organization grows.
  • Assists in the selection of vendors, equipment, services, and supplies necessary for the efficient operation of the organization.
  • Handles printing, faxing, mail/overnight packages, copying, filing, and email/messages for CEO. Sort and triage CEO’s mail; maintain e-mail and other contacts directories.
  • Composes and prepares documents/letters relating to routine correspondence for the CEO’s signature.
  • Maintains various records and documents for the CEO.
  • Maintains confidential and sensitive information.
  • Other additional and/or alternative duties as assigned from time to time, including supporting other AWS staff or departments as needed.

Job Type: Full-time

Pay: From $45,000.00 per year
