Executive Assistant

A leading, Boston-based alternative asset management firm, with $29 Billion in AUM, is seeking an experienced and driven Executive Assistant to join the firm to support 2-3 Partners. This role will report to the Director, Administrative Services and will be a member of a ten-person Executive Assistant team responsible for providing back-up support to other Partners in the firm. Responsibilities:

• Provide the highest level of support to the Partner, ensuring seamless coverage at all times, as a member of a highly efficient, effective and collaborative EA team
• Communicate and collaborate effectively with executive assistants to ensure continuity of work, and priority and completion of work, in order to ensure top notch, seamless support to the Partner
• Liaise with both external and internal “clients” on behalf of Partner. Serve as professional, solutions-oriented extension of Partner, demonstrating excellent client service skills
• Screen and direct communications, including answering and directing incoming calls, setting up conference calls, distributing faxes, sorting mail, etc.
• Proactively manage corporate and personal calendar, meeting, and travel management

Qualifications:

• Bachelor’s degree with 5+ years of experience in a direct administrative support role to one or more senior level executives, financial industry experience preferred
• Superior written and verbal communication skills
• Outstanding thoroughness, attention to detail, and accuracy in work product
• Demonstrated experience managing a complex calendar
• Aptitude to thrive in a fast-paced, deadline-oriented environment while maintaining superior time management, prioritization, organizational and multi-tasking skills; demonstrating all the foregoing with a proactive attitude
• Advanced level Microsoft Office skills (Word, Outlook, Excel, Teams, and Webex)
• Commitment to excellence and pride in work product
