What You Will Be Doing
- Receiving and directing visitors and customers
-
Maintaining a high level of professionalism in handling confidential and sensitive issues

Handling requests for information and data appropriately

Supporting the President of the Fleet Vehicle & Services division and the Leadership Team, as directed, through the preparation and organization of meetings and presentations and providing administrative support

Preparing and consolidating materials for Board of Directors meetings, Annual Shareholders meeting, Leadership Team events, and other gatherings, as assigned

Planning and coordinating events, such as Leadership Team meetings

Providing administrative support on marketing and/or sales programs, as assigned

Organizing meetings, including Board of Directors meetings
-
Exercising judgment and discretion in the handling of requests for appointments and/or calls

Using Outlook to coordinate and schedule meetings, as deemed necessary by the executive:
-
Reserve meeting space and attendees' time
-
Provide a meeting objective and agenda, when possible
-
Ensure all attendees are informed of any scheduling changes
-
Provide action item lists and meeting summaries, as necessary

Supply and set up audio-visual equipment and other essentials for meetings

Using excellent written and oral communication skills, in a professional manner, throughout all levels of the organization and when interacting with visitors, customers, suppliers, etcetera.

Creating and/or proofreading documents, such as letters, memos, and emails
-
Coordinating all travel arrangements for the executive, including air, ground, and hotel arrangements. If the travel arrangements being made are international, preparations for the executive's phone and laptop, research for visa / travel requirements, and applications for essential documents will need to be managed

Preparing the necessary expense reports upon completion of the trips, in alignment with company travel policies

Creating presentations for a wide variety of audiences: all associates, Board of Directors, visitors, direct reports, and more. Organize and utilize creative abilities to develop professional presentations from outline material

Establishing and maintaining a highly organized filing system for yourself and the executives that you support

Working with other administrative personnel to implement lean thinking into the administrative aspect of our business

Additional duties:

Lead out, or assist, on projects as needed

Process appropriate invoices

Reconcile the department's credit card statement

Maintain appropriate subscriptions (as determined by the executive)

Sort mail

Create and maintain project sites and other information databases used by the executive

Requirements
- High School Diploma
- Minimum of 5 years experience in an executive assistant role
- Power user on Microsoft office applications

Intermediate to advanced Excel and powerpoint presentations skills required

Report writing skills required
