PRIMARY PURPOSE: Responsible for providing executive administrative support services to members of the Executive Leadership Team and the organization as directed. Projects assigned are primarily well-defined and they may be confidential in nature.

ESSENTIAL FUNCTIONS include the following (additional specific duties will be assigned):

  • Provides executive administrative support to members of the Executive Leadership Team (‘ELT’) and Wings Financial staff as needed.
  • Works within established guidelines as directed by the Manager - Executive Services.
  • Provides work product that exhibits superior attention to detail and accuracy.
  • Completes a wide range of tasks using Microsoft Office Suite (including Word, Excel, PowerPoint and Outlook), Adobe Acrobat Pro.
  • Resolves routine and advanced inquiries from employees and members.
  • Schedules appointments and meetings, maintains calendars for all ELT members, as requested and as appropriate.
  • Assists with planning Wings Wednesday events for all Apple Valley campus.
  • May book and coordinate travel for staff (flights, hotels, car, conference registration, etc.)
  • Takes and transcribes minutes for various internal meetings, including subcommittees of the Board of Directors, and other meetings as assigned.
  • Assists the Manager - Executive Services with preparation of materials for Board and subcommittee meetings as needed and with various Board communications.
  • May assist with expense reports.
  • Provides backup to Executive Services team members.
  • Screens incoming phone calls and directs to appropriate member of staff as to best utilize the time of the ELT members.
  • Performs various other duties as assigned.

  • Provides members and colleagues with courteous, friendly service, which exceeds their expectations while processing transactions promptly, efficiently and accurately.
  • Follows Wings Financial CU’s “Standards of Professionalism” to represent the Credit Union in a professional manner through written and verbal communications, attitude, business attire, work area and knowledge of our products and services.
  • Meets individual quality service goals as identified in your performance action plan.
  • Is an effective team leader through cooperation, flexibility, dependability, attendance, lack of tardiness and participation at meetings and training sessions.
  • Accurately applies technical job knowledge and skills to complete all work in a timely manner in accordance with policies, procedures and regulatory requirements, while managing varying degrees of work.

EDUCATION and EXPERIENCE:

  • High school diploma, plus a minimum of five years of providing executive assistance to C-Level executives.
  • Superior attention to detail and accuracy
  • Excellent organizational skills
  • Proficient in Microsoft Office Suite, with excellent PowerPoint skills
  • Proficient in Adobe Acrobat Pro
  • Ability to prioritize and handle multiple tasks concurrently and evaluate the appropriate level of discretion and confidentiality applicable to such tasks
  • Superior verbal communication skills
  • Superior writing ability (excellent spelling, grammar, punctuation and word usage); proficiency in layout and design
  • Excellent customer service skills and high degree of professionalism
  • Ability to efficiently capture and accurately transcribe meeting minutes (experience in working with boards of directors a plus, but not required)
  • Working knowledge of SharePoint preferred, but not required
  • Experience in booking travel a plus, but not required
  • Experience in completing expense reports a plus, but not required
  • Team player with a “can do” attitude
  • Bondable
