Summary
Colorado State University Foundation (Foundation) receives, manages and invests donations that benefit Colorado State University and its students. The Executive Assistant to the President/CEO (“CEO”) will be a supportive force who empowers the CEO to execute the Foundation’s mission by assisting with executive projects, meetings and communications; board and committee preparation and logistics; campus collaboration and relationships; community and industry engagement; and other duties that help maintain the Foundation’s prudent, nimble and trusted management of funds benefiting the
University now and forever.

Reporting to the Foundation’s skilled board of directors and as a trusted university partner, the CEO oversees the relationship between the Foundation and the University, ensuring the Foundation’s ability to provide a stable and growing source of revenue to the University. The Executive Assistant will play a key role in supporting those relationships and efforts.

This is a hybrid position that generally requires three in-office days per week but is responsive to the
CEO's schedule and needs, including the ability to provide duties outside of traditional work hours on occasion. The Foundation offers a very competitive benefits package and a dynamic, mission-serving environment with “people” as its core value.

Essential Functions

  • Liaise with campus partners and other external stakeholders and their support staff on various meetings, special events, projects and tasks.
  • Plan and orchestrate work to ensure priorities are elevated, tracked and met; emerging needs and opportunities are anticipated; and requests are fulfilled in a timely, well-organized and professional manner.
  • Manage meetings and projects for CEO, including organizing and preparing meeting agendas and other materials; attending meetings as requested to take notes, provide reports and track action items; creating regular summaries of key deadlines and upcoming commitments; mail, email and phone call handling; agreement and signature tracking; relationship management; and other organizational logistics.
  • Facilitate complex scheduling and calendar management, and coordinate CEO’s travel, event participation and other special arrangements, including itineraries, expense tracking and reimbursements.
  • Coordinate various office management duties for CEO to include sick and annual leave reporting, coordinating employee evaluations and performance planning, staff scheduling, general office communications, employee orientation/training and various events.
  • Generate initial presidential correspondence and other documents with careful attention to detail, audience, tone, and grammatical accuracy.
  • At direction of CEO, provide support to other members of the executive leadership team on designated tasks such as board and committee facilitation and meeting logistics; special projects; event and travel planning and arrangements; and campus collaborations, presentations and meetings.
  • Evaluate highly sensitive and confidential materials and determine the best approach for appropriate handling by weighing best practices, sensitivity and previous protocol.
  • Represent the Foundation professionally and positively at all times.
  • On occasion, be available to provide these duties outside of traditional work hours.
  • Other duties as assigned.

Minimum Qualifications

  • High school diploma or GED plus minimum of five years of either progressively responsible, executive assistant experience or other experience demonstrating skillsets aligned with the essential functions of this role

  • Bachelor’s degree plus minimum of three years of either progressively responsible, executive assistant experience or other experience demonstrating skillsets aligned with the essential functions of this role
  • Highly proficient with Microsoft Office Suite programs
  • Ability to pass a criminal background check including National Sex Offender Registry

Preferred Qualifications

  • Experience or passion for working in higher education, non-profit, foundation or financial sectors
  • Impeccable written and verbal communication skills
  • Ability to build genuine and positive professional relationships
  • Strong time management skills and an ability to think proactively, organize around priorities and coordinate multiple concurrent projects
  • Meticulous attention to detail
  • Flexible team player willing to adapt to changes and unafraid of challenges
  • Strict adherence to confidentiality and other professional standards of conduct

Compensation & Benefits
Starting salary range $60,000 - $70,000, commensurate with experience. Benefits include health, dental, vision and group life insurance, sick time, vacation leave, and opportunity to participate in 401(a) and 403(b) retirement plans.

Conditions of Employment
This is a full-time position with some ability to work remotely. Approximately three days per week will be in office, but the schedule may flex based upon the CEO’s schedule and needs.
