Job Description :

Our Client: A global law firm advising high-net-worth individuals and institutions across a range of practice areas is searching for a Legal Administrative Assistant.

The Role: This role requires 2+ years as an administrative professional in a professional services firm (law, engineering, architecture, etc). This role is not Hybrid or Remote.

A Snapshot of Your Responsibilities

  • Provide legal administrative support to other legal administrative assistants, legal secretaries, paralegals, and partners; provide occasional coverage to the secretarial team when needed.
  • Schedule client meetings, reserve conference rooms, coordinate audio-visual equipment and food/catering needs.
  • Coordinate lawyers’ travel arrangements (domestic and international) and prepare travel itineraries, monitor, and process travel reimbursements in a timely manner, maintain Outlook calendar, and monitor important due dates for lawyers as required.
  • Organize, coordinate, and communicate pertinent information with other team members. Monitor lawyers’ incoming emails as directed and when required. Answer phones and direct callers as needed. Receive, register, and assist visitors as required.
  • Type, revise, and proofread general correspondence, memos, legal documents, reports in Excel, etc. from various sources.
  • Prepare draft communication outlined by a lawyer as required. Ensure accuracy and clarity of all work products in a timely manner.
  • Utilize the iManage document management system effectively as a central repository for all matter-related documents. Establish and maintain records of documentation in searchable electronic formats (hard copies only when necessary). File hard copy data and documents as necessary in a timely manner. Retrieve information from storage as requested. Send paper files to storage on a periodic basis. Use Records Management System to process files for storage and retrieval. Update subscription books as required.
  • Perform other duties as necessary and as assigned by your supervisor for efficient functioning of the Department.

What You’ll Need:

  • 2+ years as an administrative professional is required, preferably in a law firm, though experience in other professional service industries (engineering firms, accounting firms, architectural firms, etc.) is also acceptable.
  • Bachelor’s Degree preferred. High School diploma required.
  • Professional demeanor; ability to represent the attorneys to clients and others. Solid command of the English language including excellent spelling, grammar, punctuation, form, and style.
  • Ability to compose correspondence as needed.
  • Strong communication skills: the ability to express self effectively, both orally and in writing.
  • Interpersonal skills: the ability to establish effective working relationships with colleagues.
  • Strong technical skills, such as typing, and have a good working knowledge of Microsoft Word, Excel and Outlook. Ability to prioritize and multitask effectively.
  • Ability to work both as a team as well as independently.
