The Senior Executive Administrator (SEA) will provide administrative support to the Chief Executive Officer (CEO) and Executive Team, including the coordination of schedules, communications, and pertinent information to the entire executive team. Executes special projects, and assignments, including work that is highly sensitive and/or complex in nature, requiring a high level of critical thinking skills and initiative in execution and implementation. This work includes, but is not limited to, managing the Executive Team’s, and responding on behalf of the CEO and Executive Team to internal and external stakeholders, including engagement with members of the board. The SEA performs work of a highly confidential and critical nature to support the CEO and Executive Team. Therefore, the SEA must exercise discretion and independent judgement on matters of significance. Plans special events including coordination with vendors regarding details.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Engages with various stakeholders, including members of the board of directors
  • Provides confidential administrative support to members and management and staff
  • Supports members of the executive team in all areas of administration, especially scheduling and working with calendars
  • Coordinates, manages, all Board, Board‐level Committees, Executive Management, Executive Management Committee, Senior Leadership meetings to include invitations, agendas, meeting materials – including formal and informal meeting minutes
  • Arrange meetings, appointments and provide reminders
  • Composes letters, memos, emails, newsletter content, and other written documents and files
  • Creates flyers and fillable forms, collects registrations, and prepares reports for billing
  • Analyzes and organizes and coordinates work flows
  • Produce reports, presentations and briefs
  • Develop and carry out an efficient documentation and filing system
  • Act as the point of contact between the executives and internal/external clients
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Handle requests and queries appropriately
  • Make travel arrangements

MINIMUM QUALIFICATIONS

  • Minimum of 10 years progressive experience as a Senior Executive Assistant reporting directly to a member of Executive Management
  • Bachelor’s Degree preferred
  • Strong organizational skills, project management and problem‐solving skills with impeccable multi‐ tasking abilities
  • Exceptionally detail oriented in written and verbal communication specific to Board and Committee level
  • Advanced knowledge in Microsoft Office Suite, including Teams and demonstrates ability to become familiar with firm‐specific programs and software
  • Able to give specific examples of years of experience scheduling meetings and appointments and managing travel itineraries utilizing strong follow‐up and follow through skills
  • Experience adjusting and shifting priorities while maintaining project goals
  • Proven track record with a keen sense of urgency within a time sensitive environment while keeping high level of customer service to all whom you come into contact with
  • Experience working in a very fast paced and quickly changing environment
  • Proven success with working with multiple people and prioritizing each person’s needs
  • Solution oriented and research driven to find information resources and information needed
  • Takes personal initiative and is a positive example for others to emulate
