JOB TITLE: Volunteer & Administrative Coordinator (Primarily for Refugee and Mental Health Services)

SUPERVISOR: Director of Refugee Services

POSITION OVERVIEW: The Volunteer & Administrative Coordinator will work closely with the Director of Refugee Services and the Clinical Director to support the activities and the goals of our refugee resettlement and mental health departments. This person will also serve as the Volunteer Coordinator for all other agency programs. The Volunteer & Administrative Coordinator will work 37.5 hours per week and will be a primary liaison to volunteers and key support staff for the important work we do in mental health and refugee resettlement. This staff member will while coordinate and prepare materials for meetings and events, arrange and lead volunteer trainings, draft and edit correspondence, complete expense reports, and provide assistance to case managers to complete required core resettlement services within required timeframes in the medical, housing, employment, basic needs, and education domains.

The ideal candidate demonstrates excellent judgment and is highly organized, detail-oriented, and a great multi-tasker with a caring heart and the desire to help all members of our community lead healthy and meaningful lives.

ESSENTIAL FUNCTIONS:

  • Consistently provide friendly courteous assistance every day which includes building and maintaining healthy professional relationships with clients, volunteers, host agencies, and all staff.
  • Assist with outreach to new and existing volunteers and arrange and lead volunteer trainings to recruit new volunteers to JFS
  • Provide assistance to case managers at the Refugee department to complete required core resettlement services within required timeframes in the medical, housing, employment, basic needs, and education domains.
  • Scheduling information sessions through Eventbrite and running sessions for volunteers as required.
  • Provide administrative assistance to the Mental health department, as per need
  • Documents contact and services provided to clients based upon the needs and goals identified in the resettlement plan, monitoring progress of adult members of the case over time with summary notes regarding the purpose and outcomes of that contact.
  • Maintains client files, including copies of all pertinent documents, and obtains client signatures and dates on appropriate forms and receipts promptly
  • Arrange for volunteer background checks as needed.
  • Working with volunteers, assist with coordination of in-kind donations program, including screening items, managing logistics, and tracking.
  • Working with the Director of Refugee services and volunteers, assist with training and onboarding new volunteers and maintain all volunteer records.
  • Work as part of the program team and participate in staff meetings and in-service trainings. Other responsibilities, including providing clerical and administrative support to management as requested.

Position Requirements & Qualifications:

  • 2+ years of proven experience as volunteer coordinator or in a similar field
  • Enthusiasm for JFS’s passion to help others achieve health and wellbeing
  • Bachelor's degree preferred but not required

Job Type: Full-time

Pay: $42,000.00 - $46,000.00 per year
