The Administrative Assistant will primarily assist the financial advisors in creating the ultimate client experience by managing and organizing the office workflow and daily practice operations. This role will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities. As an Administrative Assistant, you will provide client relationship support through managing and gathering client data, scheduling and confirmations processes, assisting with client requests, assisting in marketing activities, working with clients to resolve issues, and other administrative responsibilities as needed. This role will assist in the day-to-day activities of the practice including, but not limited to, managing functions essential to the practice, as well as ad hoc requests, coordinates/tracks projects and/or assists with business-as-usual projects, and assist the Advisors and Marketing Manager.
Responsibilities and time allocation – Will change over time to meet the needs of the practice and can include other duties as assigned by the advisor.
· Calendar management and detailing advisor meetings in Outlook
· Scheduling clients according to the SMF, confirming meetings, and establishing web meetings with clients, wholesalers, and the team
· Ownership of the client service model and frequency in the CRM software tool
· Management of client data and accuracy in the CRM software tool
o Client Box file
o Upload all new outside products to clients CRM file
· Assist with client service requests within 24hrs
· Contact clients on behalf of the Advisors and Marketing Director
· Assist in client appreciation events
· Gifts and miscellaneous client appreciation assistance
· New client processing and client assistance
· Monitoring of Licensing and Registration, FINRA Firm and Regulatory Element requirements
· Monitoring of CE credits, education, and requirements
· Attend daily Team Huddles
· Technology management and support
o Attend Ameriprise webinars & stay up to date on Ameriprise University
· Maintain files and records in accordance with the records retention policy
· Maintain Office Support Doc
· Support the Managing Director with personal tasks
o Misc personal support
· Office duties- order office supplies, kitchen needs, and water plants

Education and Other Designations
· Associates Degree or higher
· 2+ years of similar experience preferred within an advisory practice
· Preferred experience with Salesforce or CRM software tools
· Microsoft Office Suite and Outlook experience
