Job Title: Administrative Assistant

Supervised by: Apartment Manager

Hours for position: Monday-Friday 8am-4 pm 75 Hours Bi-weekly

Required Education, Training, and Experience:

Reading, writing, grammar, and mathematics skills; skills normally associated with a high school diploma or equivalent with an emphasis in business curriculum; proficient interpersonal relations and communicative skills; moderate computer skills; minimal typing skills, valid Pennsylvania operator's license; minimum six (6) months' experience in related positions normally required.

General Responsibilities:

Responsible for answering the telephone; collecting resident rents; reporting pertinent information to the immediate supervisor; responding to inquiries and requests from visitors, residents, apartment personnel, etc.

Essential Duties:

1. Writing and recording maintenance requests.

2. Scheduling exterminating services.

3. Preparing the monthly calendar.

4. Printing and distributing the monthly tenant newsletter.

5. Prepare tenant files for move-ins.

6. Answers and screens all incoming telephone calls in a courteous and professional manner. Routes call and take messages, as appropriate.

7. Gives basic facility information, such as brochures and information packets to persons wanting information about the apartments.

8. Types, copies, orders and maintains inventory of office supplies, and performs other clerical duties.

9. Maintains and updates log of all emergency phone numbers. Keeps log at front desk.

10. Performs various accounting duties as illustrated by the following: A. Processes accounts receivable as follows: 1) Collects rent from residents. B. Processes accounts payable as follows: 1) Posts and replenishes petty cash.

11. Performs other related duties as assigned or directed.

Job Location First floor, office area.

Physical Demands 1. Must possess sight/hearing senses, or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
