Position: Assistant Director of Finance FLSA: Non-exempt

Reports To: Finance Director Updated: 2/2023

Supervises: N/A

Job Category: Administrative

Position Summary: The Assistant Director of Finance provides support for the Finance Department through general accounting duties, reporting, preparation, and oversight, as well as administration of payroll for organization. Comply with federal, state and agency policies, procedures, and regulations. Provide leadership in the absence of Director of Finance.

The following responsibilities are representative of recurring tasks. These are not to be construed as exclusive or inclusive. Other duties may be required and assigned. These responsibilities must be performed satisfactorily with or without accommodation.

Position Responsibilities:

  • Function as primary payroll administrator.
  • Prepare cash receipt records and bank deposits.
  • Accounts payable preparation which includes importing rosters into Wellsky.
  • Participate in continuing education to ensure up-to-date knowledge base to fulfill responsibilities of the position.
  • Participate in cross-training program in Finance Department to ensure continuation of services.
  • Assist Director of Finance as requested with analysis, review of accounting records, audit preparation and annual report.
  • Other duties as requested from the Finance Director.

ESSENTIAL SKILLS, KNOWLEDGE, AND ABILITIES:

  • Knowledge of principles and practices of non-profit budgeting, including state and federal funding requirements for area agencies on aging and instrumentalities of the state.
  • Working knowledge of the Older Americans Act and the purpose of area agency on aging.
  • Strong interpersonal skills to relate to diverse cultures, older persons, and colleagues.
  • Ability to build effective collaborations and partnerships using diplomacy and tact.
  • Proven oral and written communication and presentation skills.
  • Strong organizational, personnel management and administration skills and an ability to plan, direct, and monitor the work of others and motivate staff.
  • Capability to gather and analyze information, and aptitude in judgment when applying/interpreting agency policies and procedures or solving problems.
  • An understanding of excel spreadsheets and using computer software, particularly GMS Accounting and Wellsky programs.

QUALIFICATIONS:

A bachelor’s degree in accounting with 3 years progressive experience in financial accounting and reporting,

Experience in nonprofit accounting preferred.

PHYSICAL DEMANDS:

The person occupying this position must be able to perform all responsibilities and tasks outlined above, which may include:

  • Lifting items weighing up to 20 pounds along with bending and twisting simultaneously, including lifting program materials and supplies onto/off cart and into/out of vehicle.
  • Sitting for extended periods of time, approximately 90% of position.
  • Employee in this position must have a valid driver's license, be able to be insured as a motor vehicle operator and be able to travel frequently in and outside the Agency's area, as the job requires.
  • While performing the duties of this position, the employee is occasionally required to walk, sit, use hands or fingers, feel objects, tools, or controls, reach with hands and arms, talk, and hear.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the duties that are not essential for satisfactory performance of the position.
