Job Description :

Responsible for the processing of employee payroll. Primary backup to the Payroll Accounting Administrator that includes the processing of employee timesheets and other payroll functions. Provides professional and courteous daily technical support to all levels of the organization regarding computer, software, hardware, devices, and all other VNA equipment to ensure smooth continuity of operations. Performs other job duties in the Finance department as needed.

Primary Duties:

Payroll Processing

  • Performs data entry of employee hours and other related payroll information (visit counts, shift differentials, PTO, sick pay, incentive pay, on-call pay, mileage reimbursement) into payroll software for payroll processing.
  • Completes biweekly payroll processing accurately and timely.
  • Enters new hire set-ups, terminations, and changes into payroll software system. Ensures all demographic, profile, and payroll data is accurate and complete.
  • Processes changes in pay, deductions, accruals, direct deposits, taxes, PTO payouts, etc. Ensures changes are processed timely and accurately.
  • Processes direct deposits and ACH transfers.
  • Prints and reviews payroll transaction reports to ensure accuracy of data. Identifies and resolves payroll discrepancies.
  • Works collaboratively and communicates with Payroll Accounting Administrator to resolve payroll issues.
  • Transmits biweekly payroll taxes and deductions. Files quarterly payroll taxes.
  • Distributes payroll stubs to employees.
  • Assists with W-2 reporting as needed.
  • Maintains written payroll processing guidelines and procedures and updates regularly.

IT Support

  • Provide IT support with computer, software, and equipment issues for clinicians and desktop users and all other hardware within the Agency.
  • Respond to user questions and resolve user problems as quickly as possible to enable the user to continue his/her job duties.
  • Take the initiative to research and troubleshoot common IT problems.
  • Train users on new and/or existing software and company devices or equipment.
  • Prepare reference material for users as needed.
  • Assist in setting up new computer, devices and equipment for employees.
  • Set up new email accounts.
  • Maintain and regularly update employee phone list.
  • Maintain and regularly update phone and voicemail system.
  • Perform other IT functions as delegated by the Director of Finance/IT.
  • Perform all job responsibilities with the highest level of confidentiality.

Other Financial Duties

  • Performs month-end close for journal entries, reconciliations, and QB entries.
  • Processes deposits.
  • Maintains and reconciles cash boxes.
  • Processes credit card and pay pal receipts.
  • Maintains and reconciles spreadsheet for salary reclassification.

Qualifications:

  • Associate's degree in accounting or business or closely related field with a minimum three (3) years of payroll and accounting experience, or any combination of education and work experience may be substituted. Work experience in a health care setting highly desired.
  • General knowledge of applicable state and federal payroll laws and regulations.
  • Knowledge of payroll functions and basic accounting principles.
  • Ability to perform basic math calculations.
  • Strong computer skills and Microsoft Office Suite in a Windows environment necessary.
  • Intermediate proficiency in Microsoft Excel required.
  • Must be able to display a high level of attention to detail, accuracy, organization, and time management skills.
  • Ability to set priorities and manage multiple projects/tasks simultaneously while meeting deadlines and customer expectations.
  • Must possess good critical thinking and problem-solving skills.

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
