Job Description – Office Administrator, Journeys DDA

This position supports Journeys DDA staff and clients by organizing and maintaining the day-to-day office processes. Including compiling, organizing, and maintaining inter-office communications, collecting, and compiling HR and Financial records, and directing office communications and activities. This position reports to the Chief Communications Office at Journeys Family of Services. Still, it will also serve as an Executive Assistant to the Chief Financial Officer and Executive Operations Director of Journeys Family of Services.

Responsibilities include:

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Manage agendas/travel arrangements/appointments etc. for the upper management
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support budgeting and bookkeeping procedures
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations/proposals as assigned
  • Assist colleagues whenever necessary
  • Manage the day-to-day schedules of key office Executives, restricting public access to these individuals as necessary.

Qualification Requirements:

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software
  • Qualifications in secretarial studies will be an advantage
  • High school diploma: BS/BA in office administration or relevant field is preferred

Salary Range:

$35,000 - $45,000 Annually, determined by experience and qualifications.

Schedule:

  • Full-time (40 hours/week)
  • 8-hour shift
  • Monday through Friday

Work Location:

Workplace located in Idaho Falls, Idaho. Minimal travel throughout the State of Idaho may be needed. If necessary, a company vehicle would be provided.

Job Type: Full-time

Pay: $35,000.00 - $45,000.00 per year
