Senior Executive Administrative Assistant
This position will act as an extension of and work with primary Executive Assistants to Ownership. The successful candidate will be exceptionally organized, proactive and provide support in a fast-paced environment, remaining flexible, poised, resourceful and efficient. They will demonstrate positivity and professionalism while building relationships with colleagues, family members and external Board and Committee contacts. They will be responsible for maintaining strict confidentiality and a high level of integrity in all interactions. Candidate must possess strong attention to detail and have demonstrated experience working in a C-Suite environment.
This position assists with a broad variety of personal and business-related administrative tasks that include but are not limited to managing an active calendar, diligent review of high-volume email, composing and preparing correspondence, compiling meeting materials and arranging detailed domestic and international travel plans. This position will also provide coverage during absences of primary Executive Assistants and Boston Office Manager.
This position is eligible to participate in our hybrid work from home program, which includes three days per week in the Taunton office. Must be available to arrive earlier/stay later as needed.
Key Accountabilities:
Email / Calendar Management and Travel:

Manage heavy and ever-changing calendars and email while prioritizing requests and responding in a timely manner.

Handle all calendar and email requests confidentially, expeditiously and follow through on tasks until completion.

Assist with coordination of personal and business-related travel arrangements, including flight, hotel, ground transportation and other reservations.Communications:
-
Communicate daily with primary Executive Assistants to coordinate day-to-day activities ensuring meeting materials are prepared and available in advance of appointments, expediting key correspondence and priority matters. Coordinate and process all information received via phone, email, text and voicemail keeping Ownership and primary Executive Assistants informed.

Provide support to Ownership for their internal / external Board and Committee assignments.

Prepare correspondence (email response, letters of recommendation, thank you notes, etc.) and thoroughly proof to ensure final copy and timely reply.

In conjunction with primary Executive Assistants, communicate directly on behalf of Ownership with colleagues, family and external parties on designated matters.

Manage incoming event invitations and respond on behalf of Ownership and update calendars as needed.
Other: -
Personal errands - purchase items for office(s) and home(s) as needed and coordinate delivery.

Events - coordinate internal meetings, external board related and family events.

Maintain supplies for Executive suite including conference rooms, kitchen, Ownership and primary Executive Assistant offices.

Maintain a variety of files and records.
Requirements
Knowledge/Skills/Abilities: -

Excellent written and verbal communication skills.

High level of proficiency with Microsoft Office (Word, Excel, PowerPoint), WebEx, Teams and Zoom.Education/Experience/Training:

Bachelor’s degree required

5+ years of work experience in an Executive Assistant role, supporting C-Suite Executives required

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)

Demonstrated ability to handle privileged or confidential information with discretion

Basic knowledge of Audio-Visual equipment to set up meetings
