Job Description :

The Senior Payroll Specialist is responsible for managing the organization’s payroll function, including but not limited to performing a variety of accounting functions in preparation, distribution, and reporting of payroll, ensuring compliance with all applicable regulations.

This is a HYBRID role out of Maple Plain, Minnesota

You will:

  • Develop and implement payroll practices and guidelines to ensure accurate and timely delivery of payroll
  • Complete weekly and bi-weekly payroll activities for multiple locations. Maintain data integrity in the HRIS
  • Maintain and file payroll information
  • Manage portions of the UltiPro system including setting up and reporting on general ledger, new system integrations, system enhancements, troubleshooting issues, responding to report requests
  • Maintain payroll compliance with company policies and procedures as well as federal, state, and local regulatory agencies
  • Ensure compliance with federal, state and local payroll, wage and hour laws and best practices
  • Audit and process data, including bonus, reimbursements, Sales commissions, PTO and other earnings
  • Manage the garnishment process including providing data for agencies as needed. Track and deduct all garnishments and other special payroll deduction and ensure timely distribution of garnishment checks
  • Provide customer service and problem resolution to employees, customers, vendors, and other company personnel in a friendly and professional manner
  • Reconcile all tax and unemployment liability accounts to the general ledger and investigate variances
  • Prepare quarterly payroll tax reporting and research and resolve payroll/tax reporting issues
  • Participate and perform period end activities. Work directly with external auditors as needed to provide any payroll related information as it relates to completion of audit procedures
  • Manage UltiPro Time Management component of HRIS including troubleshooting issues, provide support documentation and development of payroll policies. Research ways to improve processes and minimize expenses through application of laws and/or regulations. Recommend and/or implement continuous improvement to the payroll function and all responsibilities as it relates to this position
  • Perform additional tasks as assigned

You have:

  • Bachelor’s Degree in Accounting, Finance, or related field; or equivalent education and experience
  • 10+ years of relevant payroll experience
  • Solid knowledge and understanding of accounting principles and payroll best practices
  • Trustworthy and able to maintain and handle highly confidential data
  • Knowledge of applicable local, state and federal rules and laws
  • Ability to work under minimal supervision with wide latitude for independent judgement
  • High level of attention to detail
  • Excellent organization skills
  • Ability to work in a fast paced environment with quickly changing priorities and multiple deadlines simultaneously
  • Strong computer skills including proficiency with Microsoft Office Suite and HR payroll systems
  • Excellent and professional verbal and written communication skills
  • Self-motivated, and able to work well under pressure or time deadlines
  • Strong time management skills
  • Strong analytical, problem solving skills

Bonus Points for:

  • Payroll or Finance leadership experience
  • Certified Payroll Professional designation
  • Experience with HR systems (UltiPro)
  • PHR, SPHR, FPC or CPP certification
