Karen Beckwith Creative is a dynamic and creative interior design consultancy with a wide range of projects in the Berkshires, New England and the Tri-State area. We are looking to add an experienced administrator with a keen eye for detail to our team. The role of Studio Administrator and Project Coordinator is a full-time, in-person position and is possible to start immediately. The job is part super sleuth and part detail management; an integral part of our design process.

Job Description

We’re searching for a dedicated self-starter who will assist us in the product procurement area of our interior design business, as well as help coordinate projects from our studio in Great Barrington. The ideal candidate will be an adept administrator who is familiar with financial tracking, and able to liaise with our vendors, design team, and bookkeeper. They will be organized and friendly, with a solutions-minded approach to issues. Having strong communication and polished interpersonal skills is also a must as this role is heavy in vendor and client communication. Someone who likes variety in their days and enjoys “wearing many hats” would excel here. While this is not a creative position, a successful candidate will love using their administrative acumen to ensure beautiful products arrive for installation day.

Duties include but are not limited to:

  • Maintaining our design materials library. Order, accept, and organize incoming samples & products.
  • Visiting our local makers and vendors for product pickups or sample drop offs.
  • Assessing product & financial tracking status on projects, and communicating such to the team.
  • Prioritizing project tasks and personal time management in a practical way, while remaining flexible as things evolve.
  • Meeting with designers at the production hand-off point to move our projects forward.
  • Creating purchase orders in Quickbooks and sending/tracking orders and payments to custom makers.
  • Super sleuthing! Hunting down product or delivery mysteries and cajoling vendors.
  • Tracking shipments, deliveries, and maintaining our project tracking system. Managing damages, claims, returns or coordinating repairs when necessary.
  • Scheduling freight deliveries with the receiving warehouses and white glove installations with our clients.
  • Preparing for, meeting, and assisting with on-site project installations (get to see all your thoughtful work come to fruition!).

Job Requirements

  • 2 years of experience (minimum) in administration, office management, project coordination, or similar position.
  • Experience in the interior design, manufacturing, purchasing, or construction industry is highly preferred.
  • Polished, concise, friendly communication skills with team members, clients, and vendors (verbally and in writing) is a must.
  • Proficiency with Google Suite (Drive organization, calendar, slides, meet, etc) preferred.
  • High proficiency with Excel or Google sheets.
  • Knowledge of Quickbooks, and Slack a plus.

This is a full time in-office position (35+ hrs/week) with an hourly pay commensurate with experience and favorable for the region.
