Overview:
In this role, responsibilities will include providing primary executive administrative support to both the Chief Technology Officer and Chief Lending Officer. The successful candidate will be professional, service oriented, have an attention to detail orientation, manage and prioritize multiple priorities and ability to think critically.
Responsibilities:
- Provide high quality and timely support to two members of the executive leadership team, ensuring all expectations are met.

Manage and organize complex and demanding calendars by actively responding to meeting requests.

Proactively resolve and prioritize conflicts

Coordinate with other admins, VPs, and/or team members
-
Coordinate with outside vendors, organizations, and/or consultants
-
Keep executive well informed of upcoming commitments and responsibilities, act as a “barometer,” having a sense for the issues taking place in the environment.

Maintain current department organizational charts, personal and business contacts.

Coordinate executive travel and complete expense reports
-
Manage and coordinate Leadership Team, Management Team, All Team and other functional/department/staff meetings.

Coordinate with stakeholders

Track agenda items

Prepare presentations

Take meeting minutes

Coordinate with Technology and/or facilities to ensure successful meeting

Support department projects as directed

Will require proficiency in PowerPoint, Excel, and Word

Proactively track deliverables, milestones, timelines

Create correspondence, reports, memos, charts, tables or presentations

Prepare Committee meeting packages

Coordinate with board liaison for monthly package requirements

Assemble Committee packages including Board Committee meetings and provide back up support for assembling Board/or other Committees as requested.
- Take meeting minutes when required

Provide back up support for other administrative assistants

Provide back up support for the CEO’s phone and visitors

Uphold and maintain a professional presence in stressful circumstances

Perform other duties as assigned
Qualifications:
- 8+ years of experience in the capacity of an Executive Assistant

Impeccable execution of administrative activities, with high attention to detail, organization and process
-
Strong verbal and written communication skills

Ability to analyze information using logic and process to address miscellaneous situations and challenges

Strong Microsoft Office skills: Excel, PowerPoint, and Outlook

Proficient in Zoom, Teams, and other meeting platforms
-
Adaptability to prioritize long task lists and meet deadlines with little direction in an often highly ambiguous environment

Strong relationship management skills, ability to build a personal network throughout the company

Flexibility working independently or partnering with a variety of teams
-
Ability to exercise utmost discretion and judgement when working with confidential information and documents

Demonstrated ability and willingness to continuously acquire new skills and competencies

Target Pay:
$29.36 - 34.53 / hour
