Job Description :

We are looking for a person who enjoys a small-business environment to provide assistance to our sales and operations teams. This person will be the administrative anchor of the office and must be comfortable working autonomously and with remote colleagues. We need someone who can wear many hats, including bookkeeping, sales logistics, payroll and benefits management. Responsibilities:

Sales Logistics

  • Enter customer orders and support schedule logistics as needed
  • Prepare order confirmations, invoices, packing slips and other customer documents.
  • Communicate logistical information to account management team as needed.
  • Coordinate closely with shipping/receiving to ensure accurate shipments and billing.
  • Customer portal management

Bookkeeping and Administration

  • Accounts Receivable – Invoice customers per PO requirements, enter and track payments, communicate payment issues or delays promptly.
  • Accounts Payable and Expense Reporting – Enter vendor invoices, perform vendor payments, credit card reconciliations
  • Ensure proper recordkeeping.
  • Executive Assistance and other duties as needed.

Benefit and Payroll Administration

  • Process payroll monthly through QuickBooks Managed Payroll
  • Perform add/delete/changes to employee benefits as needed and manage open enrollments.
  • Coordinate and evaluate benefit providers to ensure we are competitive and current in our offerings.
  • Ensure proper HR recordkeeping.
  • Track PTO and Corporate Calendar.
  • Proactively inform employees of ancillary benefits and other perks.
  • Organize company social events and on site meetings.

What We Look For:

  • Proficient in many software environments:
  • QuickBooks Experience Required
  • MS Office 365, Supplier Portals, ERP Systems
  • Ability to manage confidential information responsibly.
  • Analytical, well organized, good with numbers and strong attention to detail.
  • High standards of professionalism and communication
  • Fast, flexible learner who can juggle several projects simultaneously.
  • Positive outlook, assertive, responsible and reliable.
  • Enjoys a small business team environment and working with different cultures

This is a full time, in-office position.

Job Type: Full-time

Pay: $66,000.00 - $69,000.00 per year

  • High school or equivalent (Preferred)

Experience:

  • QuickBooks: 2 years (Required)
  • Microsoft Office: 3 years (Required)
  • Human resources: 1 year (Preferred)
