ADB is seeking an Administrative Assistant to perform a variety of administrative support for a Vice President and the
business group they run. This role will update excel spreadsheets, word documents schedule meetings and travel, take meeting notes, prepare agendas, and be a liaison to other support groups and operations for various projects, items, reports, etc. for operation leaders. The ideal candidate will be self-motivated, professional, can manage and prioritize a high volume of tasks and projects as well as a strong work ethic and ALL IN attitude to achieve results.


ROLES AND RESPONSIBILITIES:
  • Supports SR Leadership with various administrative functions including but not limited to; updating excel spreadsheets, word documents,scheduling meetings, booking travel, consolidating budgets, credit card statements, and expense reports, taking meeting minutes, building presentations, etc.
  • Oversees and administers travel including booking flights, hotels, and rental cars for the operational
construction team and senior leadership
  • Create and consolidate professional power point presentations for various meetings including staff
meetings, training sessions, strategic planning, etc.
  • Creates various documents including agendas, reports, org charts, trackers, email announcements, etc.
  • Consolidates all credit cards statements and expense reports into a summary for final SR Management
approval, highlights any red flags found
  • Utilizes ADB systems to pull various data including overtime reports, safety results, retention data, financial
statements, zonar/gps data, etc.
  • Tracks division Scorecard results: partners with functional teams on any results that may be incorrect
including training hours, community hours, safety results, retention results, financial results, etc.
  • Supports operations with invoice approvals in ADB’s Coupa system for various vendors
  • Supports Corporate HR team and acts as a people liaison including attending safety meetings and
reporting HR events/initiatives, facilitating orientation onsite, scanning people forms to HR, providing new
hires with onboarding packets, helping team members with HR system logins, etc.
  • Acts as backup to the project support operations team; supports the PA’s with various data entry,
reporting, etc. as needed
  • Attends all weekly and monthly meetings and takes meeting notes including safety meetings, staff
meetings, customer bid calls, strategic planning, etc.
  • Performs other position duties when requested

WORK ENVIRONMENT:

  • This position operates out of a temperature-controlled office environment
  • Regular use of office equipment including printers, scanners, phones, computers, etc.
  • May be exposed to construction yard and warehouses with loud noises, dust, dirt, debris, etc.
EXPERIENCE AND EDUCATION:
  • 2+ years of prior administrative experience supporting senior leadership required
  • Prior experience within a construction environment preferred but not required
  • Valid driver license with a clean driving record required
  • High School Diploma or equivalent required
