Position Title: Full Time Office Admin

Salary: Depending on Experience

Position Summary:
The position provides key support functions to the Owner and Agency Manager. These include, but are not limited to, delivering high-level customer service and administering office processes. The primary objective of this role is to effectively assist the Agency Manager and Owner with implementing daily administrative duties, carry out ongoing projects and agency marketing. Must have excellent computer skills.

Primary Duties and Responsibilities: All training provided

Project Coordination and Management:
1. Ongoing & Special Projects:
A) Lead Generation: Organize and complete agency letters for clients. Create CRM workflows to improve agency efficiency. Support new agent contracting and onboarding process and recruiting agents. Implement marketing campaigns in conjunction with completing mailings, lead generations, event/seminar planning, and coordinating marketing seminars, and create and implement social media marketing content (including proactively managing the Facebook account).

Office Administration:

1. Customer Care:
A) Provide consistent high-level customer service to internal and external clients. This includes greeting customers in-office, answering phones, and responding to emails in a professional and timely manner.
B) Assist clients to learn and understand the step-by-step process required to apply for an advanced premium tax credit with the Idaho Department of Health & Welfare, resulting in their enrollment in an insurance plan on the state-based exchange with Your Health Idaho.

2. Office Operations:
A) Scheduling and calendar management supporting agency requirements, collaborating on quarterly newsletters, and implementing outreach education letters and media/video to clients.
B) Handling customer flow and office organization daily, and during the peak season of annual enrollment October through December.

3. Enrollment Processing:
A) Learn unique interface for each insurance carrier portal and products offered.
Process and review insurance documentation and ensure all client applications are approved. Follow intake enrollment procedures, meet deadlines by efficiently processing enrollments and time-sensitive documents to ensure compliance requirements are met.
