Role Overview

The Operations Administrator (OA) is responsible for supporting all aspects of a successful installation. Working at the direction of the Regional Manager to coordinate all logistics for the project managers and installation crews and communication between them and the corporate office.

Required Qualifications

  • High School Diploma
  • Office 365 proficiency is a must (especially in excel)
  • We are especially looking for someone with a willing, positive, and upbeat attitude to always take on challenges and learn more.
  • 2 years of experience in professional office administration is preferred
  • Experience working in construction is a plus

Responsibilities

  • Coordinate travel arrangements for the crews; hotel reservations, per diem checks, etc.
  • Collect/correct all travel and expense statements from the crews and transmit to corporate office weekly.
  • Review all daily pronto forms from all crews in the field.
  • Account for and record all credit card transactions including crews or Project/Regional Managers.
  • Establish and maintain communication with our customers and co-workers.
  • Maintain and reconcile the petty cash checking account.
  • Build and maintain One Note Notebooks in SharePoint on each installation project within the region.
  • Apply for the proper certification for each project.
  • Complete O&M manuals, warranty letters, etc upon project close out.
  • Make all required equipment reservations for the region.
  • Work with the PM’s to create and maintain an overall monthly installation schedule for the region.
  • Work with Project Managers and Hiring Manager to ensure that pre-hire and onboarding process is completed.
  • Work with the Project Managers to ensure the regional offices maintain their office and field equipment.
  • Coordinate all office supplies, cell phones, iPads, visa cards, fuel cards, etc with corporate.
