Reports to: Compliance Director

Days/Hours: M-F / 8am - 5pm

Compensation Type: Hourly

Job Description:

We are seeking an experienced, motivated, well-organized, detail-oriented, self-directed full-time Administrative Assistant - HR & Payroll Specialist to join our team! You will perform activities in human resources from processing new hires to retaining existing hires and processing of bi-weekly payroll. You will also be responsible for supporting the Admin Director with the day-to-day Human Resources Operations and for overseeing the general administrative duties of the company with the ability to execute detailed tasks efficiently in a dynamic, friendly workplace.

Responsibilities:

  • Provide management with requested reports and documents.
  • Coordinate events focused on employee recognition and company special events.
  • Accurately maintain employee files.
  • Processing of new hire paperwork for both full-time and seasonal staff.
  • Assist with data entry and maintenance of employee records and database.
  • Assist with policy creation/maintenance and implementation.
  • Provides prompt response to work-related injuries and ensures compliance with all company and regulatory guidelines working with Risk Management.
  • Acts as a liaison with all parties, communicating with injured workers, and providing follow-up to the manager, HR department, and insurance carrier.

  • File monthly Workers Compensation reports and help with quarterly and yearly audits.
  • Coordinates supply orders while ensuring fiscal responsibility.
  • Follows up to ensure that overall facility is maintained in a safe and functional manner and communicates issues with internal and external vendors.
  • Maintains all safety recordkeeping, including data reporting, tracking, and filing.
  • Provides support to the team as needed and directed by Supervisors
  • Open and distribute mail.
  • Maintain organized filing systems related to the corporation.
  • Perform data entry and administrative duties for the company.
  • Process Bi-weekly payroll for 25-40 employees with the assistance of the payroll provider.
  • Administer benefits plan in coordination with Benefits provider.
  • Track PTO.
  • Enter employee time-off requests and missed punch forms for bi-weekly payroll.
  • Review and audit timesheets; monitor time clocks and provide local troubleshooting.
  • Respond to employee inquiries related to timecard issues.
  • Maintains strict confidentiality.
  • Other duties as needed.

Requirements:

  • Previous experience in Human Resources or other related fields required; knowledge of labor and employment laws.
  • Must have experience with assisting run and oversee the operations of a multifaceted small business office.
  • Ability to work efficiently and self-directed and maintain confidentiality.
  • Professional communication skills; excellent written and verbal communication skills.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues. The highest degree of integrity and honesty.
  • Must be proficient with intermediate to advanced computer skills in the following: MS Word, Excel, Outlook, and Google Workspace. Experience with a Payroll/HR Processor and Metrc is a plus.
  • Strong organizational skills, excellent attention to detail, and problem-solving/analytical skills; able to manage projects, priorities, and workflow.
  • Ability to work with diverse groups of people.
  • Ability to prioritize and multitask; deadline and detail-oriented with good judgment and the ability to make timely and sound decisions.
  • Experience in conflict resolution.
  • Ability to build rapport with all employees
  • Willingness to pitch in to help others when needed
  • Bilingual skills preferred
  • Must be 21+ years old
  • Background check required
  • US work authorization (Required)

Education & Experience:

  • Associates Degree
  • In-person office work setting

Working Conditions:

  • Constant exposure to fine particulate cannabis plant material as airborne particles.
  • Must be able to remain in a stationary position 50% of the time; occasional stooping.
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Regularly ascends/descends stairs to the office area.
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • The ability to observe details at close range (within a few feet of the observer) and fine print documents or presentation screens.
  • Frequently moves boxes weighing up to 20 pounds across the office for various needs.
  • Occasionally moves boxes or equipment up to 50 pounds.
  • Constantly works in an indoor office setting.
  • May spend time in cold areas and noisy processing areas moving to the office area.
  • Daily exposure to machinery noise, and extreme heat/cold.

Job Type:

  • Full Time 8AM- 5PM

Pay:

  • $22-$30 per hour

Employee benefits include vacation time, paid holidays, medical allowance (for employee).
