Construction Field Administrative Assistant

Responsibilities

· Directly report to and assist Chief Construction Officer with daily organization and task management

· Assist with the procurement of minor purchases, adhere to proper budgets, and creating project schedules

· Communicate with construction teams, vendors, and suppliers by assembling timelines, meeting minutes, and needed construction documents

· Maintain and ensure field team is providing accurate work logs of construction activities, update and maintain project information packets, and ensure accurate project team rosters in our corporate software system

· Perform accounts payable data entry and billing tasks. Prepare and acquire required lien waivers from vendors for Accounts Payable. Serve as a notary for the Chief Construction Officer, prepare invoices, minor subcontracts, change orders, work orders, purchase orders, and punch lists

· Assemble and communicate the closeout packages including needs for certificate of occupancy, civil engineering, maintenance agreements, warranty packages, equipment information, and contractor contact information

Qualifications

· High school diploma or equivalent is required – Some college highly preferred

· A minimum of 3 years of experience in construction services, administrative support, contract administration, or construction project management

· Understanding of the commercial construction industry and processes are beneficial - including utility and jurisdictional processes, AIA documentation, and safety regulations

· Basic accounting, bookkeeping, and math skills

· Proficiency in Microsoft Office (Word, Excel, and PowerPoint) and experience with project or construction management software

· Excellent organization, time management, attention to detail, and communication skills

Job Type: Full-time

Pay: $45,000.00 - $59,000.00 per year

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday

Ability to commute/relocate:

  • Plant City, FL: Reliably commute or planning to relocate before starting work (Required)
