Job Description :

The Benjamin Rose Institute on Aging is a premiere, not-for-profit organization in Cleveland, Ohio, and a nationally and internationally recognized leading organization in the fields of aging research and services. We are seeking a full time Controller to join our Finance team.

Position Summary:

  • Directly assists the CFO in all fiscal operational manners including financial statement preparation and budget analysis.
  • Responsible for coordinating all financial transactions for the general ledger as well as oversight of grants, payroll and accounts receivable operations.

Essential Duties and Responsibilities

The following description is a general representation of the key duties and responsibilities of the position.

Fund availability

  • Analysis and tracking of spending policy in conjunction with CFO;
  • Approve, with CFO, release of accounts payable checks and propose funding needs as necessary;
  • Manage tracking and release of restricted funds balance in coordination with accounting manage;.
  • Tracking and understanding of deferred balances in coordination with accounting manager;
  • Maintain daily operations including but not limited to; bank and investment reconciliations, cash availability for disbursements, bank account analysis and all investment account activity;
  • Recording bank and investment account activity by restriction for permanently and temporarily restricted activity, when necessary;
  • Identify and post all transactions for cash received to the bank accounts not otherwise posted through gifts and donations or billing staff, primarily related to grants and miscellaneous;

General Accounting Activities:

  • Demonstrated knowledge of GAAP accounting;
  • Oversight of transactions posted for grants, receivables and payroll regularly;
  • Operation and control of the State of Ohio Unclaimed Funds function;
  • Managing reconciliations and fees related to third party credit card payments posted to the company bank account;
  • Maintaining all activity for Workers’ Compensation (WC) third party payment claims;
  • Responsible for oversight of monthly accruals, prepaids, revenues including grants, payroll and other standard journal entries and review and approval of journal entries and all account reconciliations by direct reports;
  • Fully coordinate monthly close process;
  • Assist with monthly financial preparation and analysis;

Audits & 990s:

  • Point of contact with external accounting firm on annual audit from planning through issuance;
  • Coordinate preparation of all audit schedules and preparation of audit support documentation with finance team and other departments as necessary;
  • Resolve audit inquires and requests with CFO, as needed;
  • Point of contact with external accounting firm on annual 990 reporting for all entities;
  • Coordinate all 990 documentation with finance and other departments as necessary;

General & Operations

  • Oversight of Accounting Manager, Payroll Manager and Grants Financial Manager;
  • Proactive in working with CFO and other senior staff in identifying and proposing solutions for areas of reporting and analysis;
  • Support of strategic planning initiatives as needed;
  • Assists CFO with coordination and documentation of budget process;
  • Assist in identifying areas of efficiencies in the department and in support of the organization and propose changes to procedures and controls as appropriate;
  • Interface with other departments of the organization as needed and when identified by the CFO;
  • Coordinates other areas of the Finance department with the CFO as needed;
  • Act as backup support for bi-weekly BRIA payroll processing;
  • Assist payroll manager with new, changing payroll regulations in coordination with HR;
  • Document and continually update process and procedures for all essential job functions;
  • Other duties as assigned.

· Qualifications:

Specific knowledge, training or skills required to perform the duties of this position including specific courses, training programs or required certifications. The requirements listed below are representative of the knowledge, skills and abilities required for the position.

  • Bachelor’s degree in accounting or finance;
  • CPA or public accounting experience preferred;
  • Experience or equivalent knowledge in grant accounting and funding;
  • Demonstrated understanding of applicable laws and regulations;
  • Proficient in financial data analysis and reporting;
  • Knowledge of payroll, accounts payable, and accounts receivable functions;
  • Ability to deliver quality work on tight deadlines, with strong organization and priority setting skills;
  • Proven experience in financial project management;
  • Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with all segments of the organization;
  • Demonstrated proficiency in use of software applications (Microsoft Office);
  • Must be able to communicate financial information into sound business language so individuals of all levels can understand;
  • Knowledge of federal regulation on taxes and reporting.

B. Previous Experience that is necessary to qualify for this position:

  • 5- 7 years of previous experience in accounting, inclusive of accounting theory and best practices.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, keyboard and telephone;
  • Specific vision abilities required by this job include close vision requirements due to computer work;
  • Light to moderate lifting is required, up to 25 pounds;
  • Ability to uphold the stress of traveling;
  • Regular, predictable attendance is required;
  • Moderate noise (i.e. business office with computers, phone, and printers, light traffic).
  • Ability to work in a confined area;
  • Ability to sit at a computer terminal for an extended period of time;
  • Work environment is stressful at times.

Pay: $80,000.00 - $93,000.00 per year
