Markham Law Firm, a growing family law firm, is seeking an Executive Assistant to the Managing Principal in their Bethesda, MD office. The ideal candidate must be able to maintain confidentiality while cultivating a world-class level of client service delivered through attentiveness and compassion during this high stress, emotional time. This non- exempt position is in person with the option to work remotely one day a week.
Responsibilities include but are not limited to the following:
· Maintain calendar of Managing Principal, including making appointments, and prioritizing the most sensitive matters
· Anticipate the needs of the Managing Principal and maintain effective lines of communication
· Maintain online biographies, profiles and certifications
· Renew bar memberships
· Responsible for email maintenance
· Schedule meetings, calls, hearings, and mediations
· Research and book appropriate travel, lodging, conference schedules and prepare itineraries
· Log new clients and referrals on CLIO Grow and CLIO Manage software
· Electric file court documents on CaseFile (DC) and Mdec (Maryland)
· Manage docket calendar and deadlines
· Assist with composing internal and external communications
· Draft simple correspondence
· Schedule, set up and start zoom conferences
· Responsible for purchasing corporate gifts/thank you gifts for clients and business materials
· Prepare retainer agreements
· Manage workflow and tasks on Asana
· Help update firm Operations Manual on Atlassian
· Schedule firm trainings and other events on firm calendar
· Provide support answering incoming calls and ensures calls are redirected accordingly (backup on firm main line)
· Attend firm trainings
· Assist with firm events including arranging catering
· Provide administrative support including by mailing, faxing, scanning, and taking notes
· Occasional personal administrative tasks or errands on behalf of the Managing Principal
· Ad hoc special projects as needed
Skills & Abilities:
· Punctual, dependable, and reliable
· Outstanding grammar, editing, and proofreading skills
· Strong organizational skills and ability to multi-task
· Exceptional attention to detail
· “Do it now” approach
· Customer service driven
· Proficiency with Microsoft Office (PowerPoint knowledge a plus) and the Mac Operating System
· Ability to lift 25 lbs.
Required Education and Work Experience:
· Bachelor’s Degree preferred, or equivalent combination of education and experience
· The idea candidate should have a minimum of 10 years of office experience and 5 years as an Executive Assistant supporting a senior level executive
· Spanish language a plus
