Job Summary
The Executive Assistant at the College of Pharmacy will provide administrative support in a variety of functions to the Dean of the College, staff multiple collegewide committees, and act as a communication hub within the College for faculty, staff, students and the general public regarding the activities of the College.

Responsibilities
1. Office management including organizing and maintaining sensitive documents and maintaining the Dean’s work/travel schedule, including responsibility for all requisite arrangements.
2. Oversee management of facilities, custodial issues, and security access for the College of Pharmacy.
3. Provides high-level executive support to the Dean by executing administrative duties including managing time-critical, sensitive and/or confidential information.
4. Co-Chair COP Dean’s Office Staff Meetings.
5. Serve as staff to the following COP Committees:
  • Executive Committee
  • Strategic Chair Committee
  • Space Committee
  • Retention Promotion and Tenure Committee.
  • Safety Committee
6. Serve on HSC Safety Committee and EHSEB Advisory Committee and represent the Dean’s office at other meetings as required.
7. Provide organizational and tracking support to strategic planning and implementation activities.
8. Plan, organize, and assist with special projects, initiatives, events, conferences, meetings, and symposia under the Dean’s oversight including scheduling, preparing agendas, taking detailed minutes, operating video-conferencing platform(s) (e.g., Zoom, Teams), and other duties.
9. Assist with development and implementation of college operational policies.
10. Research, analyze and prepare administrative and statistical reports and documents, letters of support, presentations, and other written material related to College of Pharmacy operations.
11. Manage collegewide communications.
12. May supervise the activities of support staff including planning and organizing the department workflow and conducting performance evaluations.
13. Other duties as assigned.


PROBLEM SOLVING
Incumbents use independent judgement in resolving various problems that involve faculty, staff, students and the general public. Must use judgement and discretion when advising others of the Dean’s view on policies and other issues.

Incumbents in this position may be required to represent the Dean at meetings and interact with individuals at the highest levels in public and private organizations on a local and national basis.

Minimum Qualifications
Bachelor’s degree in Business, Finance, Health Care Administration or a related field, or equivalency (one year of education can be substituted for two years of related work experience). Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required. Demonstrated human relations and effective communication skills are also required.

Preferences
Bachelor’s degree from any academic area. Experience working with students, staff, and faculty from historically underrepresented communities in a higher education setting. The ability to be detail-oriented and organized and work independently, effectively, and efficiently under pressure and with changing priorities.
