JOB SUMMARY

Reporting to the Employment Development Specialist, the Human Resource Specialist will oversee and lead the organization’s payroll functions to ensure pay is processed on time, accurately, and in compliance with government regulations as well as support a range of HR functions which includes benefits enrollment and onboarding. The person in this role must be detail oriented and have exemplary customer service skills. This role requires the utmost respect for confidentiality and high levels of professionalism and discretion.

KEY RESPONSIBILITIES

Payroll & Administration

  • Processes bi-weekly payroll for the organization
  • Responsible for continued maintenance of the payroll system ensuring that it reflects the most accurate and up to date employee information
  • Prepares and maintains accurate records and reports of payroll transactions
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices
  • Prepares offer letters, new hire, termination, and other confidential paperwork
  • Enters new hire information, terminations, job/rate changes, benefit information etc.
  • Prepares and maintains employee files ensuring accuracy and timely filing of documents
  • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions
  • Facilitates audits by providing records and documentation to auditors
  • Assist the HR Department in other capacities as directed

Compliance

  • Ensures compliance by continuously updating documents including the company handbook
  • Prepares and maintains physical employee files ensuring accuracy and timely filing of documents
  • Maintains all necessary HR documentation, files and I-9's, ensuring legal compliance

Benefits

  • Coordinates annual benefits open enrollment, 401(k) plan administration and annual 401(k) audit.
  • Fields questions/concerns regarding employee benefits and works directly with the benefits broker for resolution
  • Responsible for the coordination and completion of annual compensation statements

QUALIFICATIONS

  • SHRM-CP or PHR Certification Required. Degree in Accounting, Business Administration, Human Resources, or related field preferred.
  • 3+ years direct Human Resource and/or Payroll experience required.
  • Non-Profit, government or university work experience a plus
  • Familiarity/experience working with grants a plus
  • Proficiency in Microsoft Office and working knowledge of Paylocity or other payroll platforms required
  • Strong analytical and problem-solving skills
  • Exceptional organizational skills and attention to detail
  • Excellent communication skills both written and verbally
  • Ability to relate to internal and external customers in a respectful and appropriate manner
  • Strong project management skills
  • Self-motivated
  • Knowledge of NY state and Federal Labor Laws

SALARY AND BENEFITS

This is a full time position paid on an hourly basis beginning at $23.44/hour. Foodlink covers 100% of individual health and dental insurance with the ability to acquire family coverage with pretax dollars. In addition to generous paid time off (PTO), we observe 13 paid holidays throughout the year. Opportunity to contribute to a 401k retirement savings plan upon hire. Eligible for generous employer match after 1 year of service.
