Office of the CEO

Position Profile

The ministry of this position is to provide administrative support to the Office of the CEO as well as event planning and project management support for major donor events hosted by this office. Manage calendars, projects, travel, research, communication, and liaison with the team in support of the Chief of Staff, Office of the CEO.

Full Time with Benefits – San Jose location

Key Responsibilities & Duties

  • Complete a broad variety of administrative tasks including: managing an extremely active calendar of appointments; submitting expense reports; reconciliation of credit card statements; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Support in the preparation of speaker handouts and PowerPoint slides.
  • Provide event support by interfacing with internal and external contacts to efficiently deliver resources to the venues. Follow-up with venues to request speaker recordings and to manage archiving them.
  • Plan, coordinate, and ensure the schedule is followed and respected.
  • Prioritize conflicting needs; handles maters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Manage all travel needs for the Office of the CEO team including the booking of flights, hotels, and rental cars; and may include arranging for local transport needs overseas.
  • Manage the supplies and hospitality needs of the Office of the CEO location.
  • Any additional tasks assigned by the Executive Assistant to the CEO.

Qualifications

  • Deep faith in Jesus Christ and daily living out their faith in life and work (Romans 12) and possess a calling into the ministry.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proven, collaborative team-player with the ability to also be extremely effective independently.
  • High EQ and the ability to discreetly manage sensitive or confidential information.

Education and Experience Requirements

  • Bachelor’s degree required.
  • Highly Proficient in Mac OS, Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Asana, Slack. Familiarity with Dropbox and Google Workspace is helpful.
  • Some administrative experience is desirable.
  • Prior experience working in a ministry setting preferred.

Job Type: Full-time

Pay: $37,000.00 - $45,000.00 per year
