JOB DESCRIPTION: Secretary/Receptionist
1) Greet members immediately and inform the counselor that their next member is here. Assist members with questions in a friendly and personable manner. Do not interrupt counselors unless a member is in crisis or to announce their next member. Take messages for counselors during staff meetings and/or trainings.
2) Take phone messages/or transfer to voicemail if therapist has it when counselors are in session. Be sure name and phone numbers are accurate; repeat numbers back to members. Place messages in counselors’ box or deliver them immediately.
3) Open the office in the morning per procedures. Be sure to check the voicemail and get current messages. Close and secure the building at night when leaving. Make sure all doors are secured and if not the last one out, do a partial closing and inform therapist that you are leaving, and they are responsible for locking up and closing the building. Follow the opening and closing list carefully to ensure that all duties are performed.
4) Collect payments from members, give them a receipt, and document the payments on Cash Receipt log. Place the payment and receipt in an envelope, write the total in the envelope on the outside and deliver the amount collected to the Accounts Manager.
5) Remember how important confidentiality is for the member!!! Do not release information on a member without their written signature and with the approval by the Clinical Director.
6) Inform Assistant Director of needed supplies. Plan ahead to assure of supplies do not run out.
7) Prepare and mail out all re-engagement letters as requested by counselors, prepare closures as requested by counselors, once completed give to Clinical Director for approval, scan documents into EHR.
8) Call to confirm appointments when requested by Therapists.
9) Other duties as assigned by supervisor. Reports directly to Co-Director Dr. McGillicuddy.
10) Fill in for other Receptionist when directed.
11) Work as part of the Helping Associates, Inc. team. Take pride in your work/give a 100%. Relax daily for good health and vitality. Keep a positive attitude.
