Function: Reporting to the Associate Vice President for Enrollment, the Slate CRM Administrator will have a leadership role in providing training, support and vision for the creative and effective use of technologies to achieve the enrollment goals of both the undergraduate and graduate divisions of the College.

With the goal of providing an exceptional experience for prospective students and their families along with those at the College who support them, the Slate CRM Administrator will have a deep knowledge of the College’s CRM (Technolutions: Slate), its integration with the Student Information System (Jenzabar) and with related recruitment platforms such as Front Rush, ZeeMee, Transferology, YouVisit and others.

Having a passion for process improvement, the Slate CRM Administrator will regularly seek to optimize enrollment processes and ensure data integrity.

Description of Duties and Tasks:

Essential Responsibilities:

  • Responsible for a thorough understanding and oversight of all enrollment operations processes, procedures and technologies to ensure the correct, accurate and timely flow of enrollment data from prospect to matriculant for both undergraduate and graduate admissions.
  • Responsible for a comprehensive knowledge of the Technolutions Slate CRM and Jenzabar Student information System along with auxiliary recruitment platforms such as Front Rush, ZeeMee, YouVisit, Transferology, etc.
  • Ensures timely and accurate flow of information to and from Slate from auxiliary recruitment platforms along with the College’s Jenzabar Student Information System.
  • Builds import processes and performs or oversees the import and reconciliation of all name acquisition data in a timely fashion, including but not limited to College Board, ACT, Encoura, Cappex, Naviance, and Recruitment Partner responder data (EAB and RNL).
  • Performs routine data checks on all imported data to ensure consistency, accuracy and de-duplication and reconciliation of data to optimize efficiency and ensure any missing data is corrected.
  • Provides support and problem resolution for all existing Slate functions for undergraduate and graduate admissions including but not limited to recruitment, reporting, events, and communications.
  • Acts as the primary liaison between the College’s IT department and Enrollment Operations.
  • Stays current on enrollment trends and technologies with the goal of optimizing operations, ensuring a seamless user experience for prospective students and families and those supporting them.
  • Works with the IT team and AVP to evaluate and implement new Slate features and provide technical training to enrollment staff and campus users.
  • Maintains excellent documentation of data processes and changes.
  • Manages the day-to-day operations of the Enrollment Operations team including by not limited to:

* Building data imports and importing data into Slate

* Creating and maintaining reports, queries and outreach campaigns

* Building and maintaining portals

* Designing, supporting and maintaining communications flows, events and trip management

* Coordinates with the IT strategist on end of year cycle prep and yearly application and checklist updates and any data, prompt, field or systematic changes.

  • Takes a leadership role in evaluating and staffing for growing support of graduate programs and the strategic evaluation of insourcing vs outsourcing of some enrollment operation functions.
  • Provide onboarding and ongoing support and training for all technology platforms.

Additional Responsibilities:

  • Provides leadership and oversight of enrollment operations staff and student intern staff in all the supportive functions of enrollment operations.
  • Meets bi-weekly with the IT Strategist in the Center for Technology Services to remain current on ongoing and upcoming technology initiatives and changes.
  • Meets regularly with the Graduate Operations team to ensure a current and ongoing knowledge of graduate admissions processes as well as efficient and effective data operations between undergrad and grad departments.

Required Knowledge, Skills, and Abilities

To fully perform the above functions, the incumbent must possess the following knowledge, skills, and abilities, or demonstrate that the major responsibilities of the job can be accomplished, with or without reasonable accommodation, using some combination of skills and abilities:

1. 2. Understanding and enthusiasm for the value of a Christian liberal arts education

3. Bachelor’s degree. Preference for bachelor’s degree in computer or data science.

4. Broad knowledge of college programs, activities, and opportunities

5. Two or more years’ experience with a CRM and/or demonstrable aptitude for learning new technologies quickly.

6. Competence in using Microsoft Office products: Outlook, Word, Excel, and PowerPoint, SQL, JavaScript, PowerBI, CRM (Slate preferred), and enterprise database software.

7. Passion for process improvement, innovation, data integrity, attention to detail and persistence in researching and resolving data inaccuracies and process breakdowns.

8. Two or more years’ work experience in admissions, marketing, sales, public relations, or related fields is highly preferred.

9. A valid driver’s license with at least two years of licensed driving experience (if under 25years of age), the ability to rent and drive a car, and access to your own vehicle for transportation to and from Gordon College.
