Description:

HELIX Environmental Planning (HELIX) is seeking a full-time, team-oriented Technical Editor & Word Processing Specialist to join our document processing team and support our projects across California. The position will be based out of our Sacramento County office in Folsom, California, with flexible hours and hybrid work options so employees can choose what best fits their work style – whether that is an office setting or working from your home office up to 3 days per week.

The ideal Technical Editor & Word Processing Specialist candidate will be a strong writer and editor, an MS Word expert, a stickler for grammar, and a fanatic for formatting – with a resourceful, friendly, and helpful approach. They will be collaborative, solutions-focused, self-motivated, organized, and detail-oriented with experience editing and formatting technical, legal, and/or scientific documents. This person should be able to work independently as well as within a team, take initiative, and manage multiple deadlines in a fast-paced environment.


This is a full-time position with the HELIX Marketing & Communications Department (MarCom), working as a member of the document processing team. While there is collaboration between the marketing and document processing teams, this is not a marketing position. The Technical Editor & Word Processing Specialist will work closely with HELIX's environmental planners, biologists, archaeologists, landscape architects, habitat restoration specialists, and other technical staff and leadership to provide document editing and formatting for client deliverables.


Responsibilities and Duties:

  • Perform editing and formatting for a wide variety of documents and reports for technical staff.
  • Review technical reports for style and clarity, structure, grammar, word usage, typos, cross-references, and consistency with HELIX's internal style and language guidelines and client and/or agency guidelines, when applicable.
  • Perform word processing and formatting using MS Word for project documents and client deliverables (e.g., reports, plans, permit packages).
  • Review and modify documents to meet accessibility compliance requirements, when necessary.
  • Package documents for client delivery (e.g., developing covers/flysheets, inserting color graphs and figures, creating PDFs and digital bookmarking, and performing printing, production, and binding, when required).
  • Ensure that HELIX's high-quality standards are maintained in all work products and conduct quality assurance/quality control (QA/QC) reviews of documents (related to formatting, technical editing, and production) before a project is delivered to HELIX clients.
  • Provide responsive and friendly service and collaborate and consult with technical staff and team members as necessary to work together through challenges, questions, clarifications, guidance, and negotiation of deadlines.
  • Coordinate with document processing supervisor, document processing specialists, production support staff, and GIS and MarCom team members to complete assignments successfully.
  • Monitor job requests and report and track progress using online job tracking system.
  • Coordinate with document processing team members when workload demand exceeds individual capacity and when workload is low – and notify supervisor when demand exceeds capacity of available team members.
  • Help to maintain the HELIX Document Style Guide and assist in developing and updating language and style guidelines.
  • Serve as an information resource for company staff regarding language usage guidelines, editing standards, Microsoft Word, other relevant tools for the creation and production of high-quality documents.
  • Perform administrative tasks, and other operational and communications support, as needed.

Hourly wages will be based on qualifications and/or experience, with a robust benefits package. Expected starting pay range of $24.00 to $34.00 per hour.

Requirements:

Minimum Requirements for Technical Editor & Word Processor:

  • 4-year college degree (or equivalent work experience), preferably in English, Journalism, Communications, or a related field
  • 2+ years of work experience providing document formatting, editing, and production for technical, legal, and/or scientific documents
  • Expert-level, top-tier working knowledge of MS Word
  • Proficient in Adobe Acrobat
  • Strong writing, editing, document formatting, and grammar skills, with knowledge of common writing styles
  • Outstanding interpersonal and verbal communication skills with a team-oriented focus

Additional qualifications considered a plus:

  • Experience providing technical editing and document formatting for the A/E/C industry
  • Experience working on environmental technical reports
  • Experience with document accessibility including ADA and Section 508 compliance
  • Familiarity with Adobe InDesign and the Creative Cloud suite
