Description: Business & Events Coordinator

Reports to: Executive Director

Status: Full or part-time depending upon the right candidate.
Location: Homer, Alaska

Business & Events Coordinator Job Purpose: Coordinates the Chamber’s major events including the Homer Winter King Salmon Fishing Tournament (WKT), Homer Halibut Celebration, and annual Boat Raffle, and assists in other Homer Chamber of Commerce (HCOC) & Visitor Center (VIC) events as assigned. Assists with general administrative duties in the office.

Job Duties:

  • Assist Executive Director and Marketing Director in creating and executing advertising & marketing in relation to our Chamber and community events. This includes news releases, brochure creation & distribution & social media updates.
  • Coordinate Event Committees, complete meeting minutes, and assist with action items. Provide communication & updates to Committees and assist in Committee member recruitment.
  • Assist Executive Director & Committees in creating program budgets.
  • Crisis Management, typically weather-related events.
  • Record policy changes and verify compliance with Alaska State Gaming rules.
  • Solicit donations & sponsors
  • Coordinate volunteer staff assignments leading up to the event day and specific duties of volunteers during event days.
  • Liaison with community business partners to recruit volunteers for Chamber events and community activities.
  • Program administration including Quick Books journaling, electronic and paper file maintenance, and banking deposits.
  • Coordinate with Executive Director and Committees the finalization and closing out of programs each year.
  • Coordinate and help manage the operation of tournaments and events.
  • Assist in other HCOC events including but not limited to the Taste of Homer, Peony Celebration, 4thof July Parade, and Winter Carnival Parade.
  • Represent HCOC at Trade Shows as assigned.
  • Organize and oversee the annual Raffles, complying with Alaska Gaming rules, working with the Executive Director to promote and publicize the raffle, ensure ticket sales and ensure ticket integrity through audits, find sponsors for additional smaller prize giveaways, and organize the drawing event.

Skills/Qualifications: Experience with Quick Books journaling and reporting. Experience with advertising, marketing, and sales. Ability to organize several events at once while maintaining precise records. Proven commitment to timeliness and the ability to meet deadlines. Ability and willingness to act as a team and committee member. Experienced with all MS Office Products.

On the Job Training will include training in the following up to six months:

  • State of Alaska Gaming rules training and testing.
  • Up to 12 hours of instruction of HCOC Bylaws and Policies.
  • Up to 16 hours of training on specific bookkeeping practices at HCOC including QuickBook training.
  • 2 months of training in committee meetings, advance planning of events, monitoring progress, and crisis management.
  • Ongoing training in Chamber-specific Quickbooks use.
  • Ongoing training by the executive director on crafting news releases, brochure creation & distribution & social media updates.
  • Ongoing training in maintaining the prize structure of events (funding sponsors, cataloging prizes, planning prize handouts, completing the distribution of prizes).
  • Ongoing training with Constant Contact website for communication & updates to Committees and event participants.
  • Ongoing training in ticket, supplies, and merchandise orders.
  • Ongoing training in the operation of the VIC, including telephones, messaging, petty cash, open/close procedures, emergency procedures, employee safety.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
