JOB DESCRIPTION:

  • Schedule and send meeting notices
  • Facilitate video conference setup for meetings and use of WebEx as needed
  • Track prototypes: receive orders, log them, create PPO's, send weekly trackers to the appropriate team members, ensure orders are on track, and create invoices as needed
  • Assist with shipping prototypes (including creating invoices, commercial invoices, shipping notices, and premium freight authorizations as needed)
  • Create and manage prototype and service order trackers for the Driver Controls team
  • Maintain finances for a number of product groups, including: maintaining cost books, requisition processing, and invoicing of tooling and prototype invoices
  • Submit weekly time reporting for a large group of engineers and staff to payroll
  • Maintain and distribute the team travel calendar weekly
  • Prepare customer quotes as requested
  • Order supplies for the office
  • Create and manage reports (including Corporate KPI Reviews and monthly financial report outs for various teams)
  • Assist employees with passport renewals and new passport applications
  • Support the CEO by making travel arrangements, organizing monthly luncheons with employees, scheduling meetings, creating expense reports, coordinating on Board of Director related events, and any ad hoc needs
  • Manage the team credit cards and handle monthly credit card statement reconciliation
  • Oversee emails sent to the 'info request' email address and route accordingly
  • Prepare visitor trips to the facility as needed

Qualifications
  • Organizational skills
  • Knowledge of Powerpoint, Word, Excel required
  • Ability to interact with a wide variety of people
  • Ability to work independently
  • Knowledge of Access preferred
  • Ability to calculate figures and amounts such as proportions and percentages

EDUCATION & EXPERIENCE:

  • Associate degree in administration or equivalent experience required
  • Bachelors degree or equivalent experience preferred
  • Advanced skills in Word, Excel, Powerpoint and Access preferred
  • Previous Administrative experience in a “multiple manager” environment preferred
