Duties/Responsibilities:

The Administrative & Marketing Assistant shall be responsible for but not limited to the following:

Marketing:

  • Import new contacts from business cards, lunch & learns, and events in support of Marketing Campaigns. This includes client data management.
  • Input data into Salesforce daily, in a timely manner.
  • Complete prequalification packages and vendor registration, this involves collaborating with various departments within the organization to obtain updated/correct information.
  • Support the Marketing Specialist with updating master resumes for key personnel.
  • Supporting the Marketing Specialist with project research and developing project snapshots.
  • Assist the Marketing Specialist with overflow work and ongoing tasks, coordination of The ICS Insider, managing weekly LinkedIn/ Instagram posts to meet strategic objectives.
  • Help maintain social media content calendar.
  • Assist creating and updating marketing flyers/Standard Operating Procedures (SOPs).
  • Assist with some creative graphic design.
  • Assist coordinating and attending Lunch & Learns and events.
  • Assist editing PowerPoint presentations to track strategic goals.
  • Assist Business Development team in preparing marketing material/collateral for client events, tradeshows, etc.
  • Other tasks as assigned.

Office Administration:

  • Reception - Greet and welcome guest and answer incoming calls.
  • Receive, sort and distribute daily mail/deliveries.
  • Ensuring the appropriate stocking of office and kitchen areas and order office supplies.
  • Update calendars and schedule meetings.
  • Arrange travel and accommodations and prepare vouchers.
  • Keep updated records of office expenses and costs.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.

Contracts Administration:

  • Support the process of analyzing, reviewing, and negotiating high volume of contract requests.
  • Ensure appropriate internal contract processes and procedures are followed.
  • Prepare amendments, addendums and contract extension documents.
  • Process requests for termination of contracts and prepare termination letters.

Knowledge / Skills / Abilities:

  • Understand the principles of marketing and best practices for graphic design, social media, and communications marketing principles and best practices.
  • Ability to solve issues.
  • Ability to work in a fast-paced, deadline-driven environment while prioritizing competing deadlines.
  • Demonstrated ability to write and communicate in a clear and compelling manner, with a strong command of English grammar and editing as well as attention to detail.
  • Excellent customer service skills.
  • Intermediate knowledge of Adobe InDesign, Illustrator, and Photoshop. Working knowledge of Adobe PremierePro is a plus.
  • Must have intermediate to advanced working knowledge of Office 365 (Outlook, Word, Excel, and PowerPoint).
  • Understanding and knowledge of project-related CRM database technology, such as Salesforce, or Cosential highly preferred.
  • Some understanding of ERP systems desirable, e.g., Viewpoint Vista, Deltek.

Education / Training:

  • Bachelor’s Degree in Marketing, Communications, Journalism, Business Administration with a concentration in Marketing, or related degree.
  • Construction or Environmental sector experience is a plus.
  • Ideal candidate will have 2-3 years working in contracts & a bachelor's degree in Business, Marketing or other related field. Additional experience may be a substitute for education.

Physical Demands:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit for long periods of time. The employee is occasionally required to stand; walk; use hands to finger, handle or feel; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus.

The employee performs the essential functions of this job indoors, the noise level in the indoor work environment is usually moderate. The employee must be willing to work out of doors in all weather conditions with exposure to potentially hazardous conditions and potentially loud to moderate noise levels.

Job Type: Full-time

Pay: $27.00 - $35.00 per hour
