Executive Assistant & Ministry Coordinator

The Executive Assistant to Lead Pastor & Ministry Coordinator is a hybrid role merging the church’s administrative support systems with people engagement and assimilation. First, this position provides high-functioning administrative support to the Lead Pastor. Second, the position is responsible for coordinating various engagement ministries, such as guest experience, Next Steps, small groups, and volunteer enrichment. The ideal candidate is a highly engaging and friendly personality, has solid project management skills, and is able to effectively function in a deadline-driven work environment.

RESPONSIBILITIES - Executive Support

  • Fulfill the administrative needs of the Lead Pastor and serve as the gatekeeper of communication, correspondence, calendaring, and coordination of the Lead Pastor’s office.
  • Serve as lead inbound communication reception and dissemination (phone, text, email, social media, etc.).
  • Oversee the church’s internal and external master calendars and events (public and private).
  • Serve as part of the church’s leadership team, helping to inform decisions with an understanding of the Lead Pastor’s administrative needs and engagement-related ministries.
  • Participate in all staff meetings and retreats.

Responsibilities - Ministry Engagement

  • Take ultimate responsibility for Guest Experience and its administration for campus gatherings.
  • Implement and improve upon the Next Steps curriculum and help develop gateways for assimilating newcomers into the life of the church.
  • Assist in maintaining a Small Groups strategy that aligns with the overall vision of the church.
  • Stay up to date on current best practices in guest experience and follow up and work with other church leaders to ensure stellar first impressions with guests.
  • Develop and maintain a system of training and support for small group leaders.
  • Recruit, manage, and train teams/ team leaders in engagement-related ministries.
  • Help administrate the church’s people management software.
  • Examine changes in attendance patterns and organize outreach to people to reconnect.

REQUIREMENTS

Education

  • Bachelor’s degree in communication, business, or ministry (or a relatable field).

Experience

  • Seven years of experience in a professional full-time setting in a demonstrably relatable field.

Competencies

  • Strong understanding of self-organizational and interpersonal skills.
  • Advanced ability to use people management and/or database software.
  • Substantial skill in social/digital media.
  • Broad knowledge of hospitality practices.
  • Should be proficient in public speaking and presentations.
  • Should have experience leading and managing ministry teams.
  • Effective at building strategic working relationships.
  • Excellent written and verbal communication skills.

  • A lifestyle congruent with the biblical requirements for leaders (1 Tim. 3:1-13; 2 Tim. 2; Titus 1:5-9).

Job Type: Full-time

Pay: $30,000.00 - $35,000.00 per year
